Project Coordinator and Assistant to the Vice President for Library and Information

| Overview |
This position provides project coordination for multiple ongoing projects for the
Library and Information Technology Services (LITS) department, as well as providing
general assistance to the Vice President for Library and Information Technology Services.

| Essential Functions |
- Coordinate operational projects for the various functions of the LITS Department using
a project management system, including: Technical Services, Administrative Computing,
Internet Communications, Library and Instructional Technology, and the Office of Institutional
Research and Assessment. Prepare regular reports for the Vice President on the status
of ongoing and recurring projects including minutes taken at meetings.
- Perform general support to the Vice President as required, including meeting scheduling,
correspondence, conference room scheduling, vendor relationship management, and other
support as requested.
- Provide office/building management functions for the LITS Department and for Rosary
Hall, including supplies purchasing, facilities maintenance work order management,
and acting as liaison between LITS and other College departments.
- Provide oversight for internal communication initiatives, ensuring consistency of
messaging and presentation of the College brand. Coordinate with internal content
contributors on strategy, aesthetics, content placement, and simple technical problems
related to internal communications tools.
- Coordinate Albertus Announcement requests, ensuring accuracy of content, proper use
of language, grammar, and spelling. Make decisions on the best media/format for announcements,
which may take form of regular email digests to selected groups, digital sign postings,
calendar entries, and/or postings to the College Portal.
- Administer all purchase quotes, requisitions, invoices, and expense reporting for
department budgets.
- Assist the Help Desk group by providing first-level help desk solutions.
- Provide phone coverage for the LITS department as needed.
- Other duties as required.

| Qualifications |
- Working understanding of information technology resources, processes, and systems,
including the College's Learning Management System, the myAlbertus Portal, the Google
Apps for Education Suite, and other solutions.
- Proficiency with Microsoft Office Suite and Adobe Creative Suite of programs a plus.
- Familiarity with end-user databases such as Ellucian’s Colleague business system or
equivalent a plus.
- Demonstrated ability to learn new technologies.
- Experience handling confidential information required
- Requires good communication, strong interpersonal skills, and the ability to multitask.
- 2-3 years experience in similar support and project coordinator position at an institution
of higher education or similar organization

Bachelor's degree required.

- Requires a demonstrated working knowledge of information technology systems and solutions,
as well as LITS staff responsibilities and functions
- Excellent organizational communication skills with a keen orientation to detail, deadline,
as well as the ability to handle multiple tasks simultaneously
- Proofreading and editing capabilities
- Strong customer service experience required.
- Ability and desire to acquire new knowledge and skills independently
- Ability to work independently as well as be part of a team

| Special Work Schedule Requirements |
Desk work in an office environment. Evening and weekend work for LITS and at special
events may be required.
