| Overview |
Reporting to the Director of Alumni and Parent Engagement, the Advancement and Engagement
Associate will play an integral role as a part of the Albertus Magnus College Office
of Advancement team. He/she will support fundraising and engagement efforts, cultivating
a more connected and engaged community to support the Dominican mission to provide
an opportunity for learning which responds to the academic needs and ethical challenges
of the College’s students and society.

| Essential Functions |
Office Management
- Serve as the primary point of contact for visitors. Answer the main telephone line;
- resolve questions that arise from the callers.
- Manage Advancement shared email inboxes and reply to all incoming inquiries.
- Open and distribute mail. Manage outgoing mail for the team to include postage and
any
- required pickup services.
- Maintain supplies and ordering of equipment for the team.
- Maintain physical files for Advancement Office.
Communications and Events
- Administer alumni and parent communications strategy in partnership with the Director
- of Alumni and Parent Engagement.
- Under the direction of the Director, administers alumni and parent communications
- (email, mail, social media, web, etc.).
- Produce alumni congratulations letters, class mailings, etc.
- Provide administrative support for advancement events including managing RSVPs,
- producing nametags, event materials, purchasing collateral, and managing registration.
- Provide day-of event support for Advancement programs.
Administrative Support
- Provide administrative support to the AVP and fundraisers as required.
- In partnership with the Director of Alumni and Parent Engagement, serve as administrative
support to the Alumni Association and its Advisory Board and its committees. This
includes administrative aspects such as scheduling and sending reminders regarding
conference calls, circulating agendas, and editing minutes.
Records Management
- Maintain records in Raiser’s Edge database including addresses, school affiliations,
employment information, and communication preferences.
- Pull mailing lists and queries from Raiser’s Edge database for engagement activities.
The above covers the most significant responsibilities of this position. It does not,
however, exclude other duties, the inclusion of which would be in conformity with
the level of the position.

| Qualifications |
2-3 years of experience in alumni relations, special events, education/higher education
or other related field.

| Education |
Associate’s degree required, bachelor’s degree preferred.
|
| Knowledge | Skills | Abilities |
- Strong written, oral and interpersonal communication skills with the ability to interact
and collaborate with varied constituencies in a professional manner.
- Creative and tactful with strong organizational and planning skills; event experience
preferred.
- Knowledge of Raiser’s Edge a plus.
- Strong knowledge of MS Office and ability to learn new software quickly.
- Working knowledge of the various social media and technology platforms used in an
office setting.
- Demonstrated knowledge and understanding of the College’s Mission, history and traditions.
- Ability to work independently and on a team.
- A positive “can do” attitude and ability to keep a positive attitude while working
under pressure.

| Special Work Schedule Requirements |
Full-time work hours are Monday to Friday 8:30 a.m. to 4:30 p.m.; occasional support
on evenings and weekends.
