Overview The Administrative Assistant to the Interim Vice President for Enrollment Management and Marketing provides executive support and oversees and manages all office procedures and other tasks with a high degree of confidentiality as assigned by the Interim Vice President for Enrollment Management and Marketing.

Essential Functions
  • Schedule appointments /meetings and maintain calendar

  • Answer and place telephone calls

  • Open and sort incoming mail

  • Prepare, format & edit letters/memos and other communications independently and as directed by Interim Vice President for Enrollment Management and Marketing

  • Registers and makes travel arrangements for Interim Vice President for Enrollment Management and Marketing for meetings, conferences, and seminars

  • Maintain time sheets/PTO forms for employees who report to the Interim Vice President for Enrollment Management and Marketing

  • Provide ongoing oversight for departmental budget; prepare requisitions and work orders; order office supplies as needed

  • Collect and Maintain office records

  • Greet Office visitors

  • Other duties as required

Qualifications
  • Strong written and verbal communication skills as well as strong interpersonal communication skills

  • Solid computer skills; willingness to learn and adapt to new software/technology

  • Detail oriented and organized; able to prioritize and complete tasks

  • Adaptable to change; able to work independently and with a team

  • Highly professional, have good judgement and be willing to take initiative

  • Ability to multitask and work gracefully under pressure

Education Some college or professional preparation required; bachelor degree preferred.
Knowledge | Skills | Abilities
  • Excellent communication, organization and time management skills

  • Computer skills and proficiency in Microsoft Office Suite; Google suite; project management software (Asana)

  • Maintains professionalism and confidentially at all times.

  • Works independently/under pressure and be able to multitask

Special Work Schedule Requirements Full-time, work hours are Monday to Friday 8:30AM to 4:30PM; occasional support on evenings and weekends.
