Academics & FERPA
Frequently asked questions regarding academic records, accommodation details, and student privacy under FERPA.
Can parents/guardians access their student's academic, accommodation, or financial records at Albertus?
Under the Family Educational Rights and Privacy Act (FERPA), once a student begins attending a postsecondary institution such as Albertus Magnus College, the rights to educational records transfer from the parent/guardian to the student, regardless of age or financial dependence.
As a result, the following records are protected and cannot be shared without explicit written consent:
- Academic records: Grades, transcripts, class schedules, and academic standing.
- Accommodation records: Maintained through Accessibility Services under FERPA and additional privacy regulations.
- Financial records: Financial aid information and tuition billing statements.
If a student wishes to grant access, they must complete the Permission to Release Information form on the myAlbertus portal via the Office of the Registrar.

New Student Orientation
Frequently asked questions regarding orientation schedules, overnight stays, registration, and preparations.
When is New Student Orientation held each year?
We offer several New Student Orientation sessions throughout the year. For deposited students starting in the fall semester, Orientation is held in June. For deposited students starting in January, Orientation is held in January, the day before classes begin. Dates are published on the Albertus Orientation website a few months in advance.
Am I required to stay overnight on campus for New Student Orientation?
Yes, all new students are required to stay overnight on campus for the June sessions. The January Orientation is only one day and students do not stay overnight.

How can I register for New Student Orientation?
All deposited students receive invitations via email (sent to the personal email address used during application) to register for New Student Orientation sessions. Email reminders will also be sent.
Is Orientation required for all new students?
Yes, Orientation is required for all new students, including both first-year and transfer students.
Can my parents and family members come to Orientation?
Yes, we welcome parents and family members! There is a separate Parent and Family Orientation program that runs synchronously with Day 1 of the student orientation program.
Is there a fee to attend New Student Orientation?
No, both the student and parent/family orientation programs are free to attend.
Can I request a roommate for New Student Orientation?
Yes, you can request to room with a specific student for the June Orientation sessions by emailing orientation@albertus.edu at least 1 week prior to your session.
When do I register for my classes?
You will register for your first semester of classes when you attend a New Student Orientation session. You will meet directly with an academic advisor during the session to ask questions and finalize your schedule.
What do I need to prepare in advance to attend orientation?
Before starting classes, all new students must complete the following:
- Complete and submit required health forms by the posted deadline.
- Pay tuition and fees and submit Financial Aid paperwork prior to coming to campus.
- Submit final official transcripts from high school or recently attended colleges.
What do I need to pack to bring to Orientation?
Please visit the Orientation Webpage to view the packing list, or email orientation@albertus.edu to request a PDF copy.
How do I get a Falcon Student ID Card?
When you attend an orientation session, you will take a photo on site for your ID Card. You will receive your official Falcon Student ID Card during your first day on campus.
Do I need a parking pass for my car?
If you are coming to campus for Orientation, you do not need a parking pass. However, if you plan to keep a vehicle on campus during the academic year, both resident and commuter students must register their vehicle with Public Safety upon arrival.
How can I find the schedule for New Student Orientation?
The schedule will be emailed to deposited students at least one week prior to the start of New Student Orientation. When available, it will also be published directly on the Orientation website.
Where can family members stay for Orientation or Welcome Weekend?

Student Engagement & Getting Involved
Frequently asked questions regarding student organizations, campus leadership scholarships, and parent involvement opportunities.
How can I get involved on campus?
Each semester, the Office for Student Engagement hosts a Student Involvement Fair where all active clubs and organizations table to recruit new members. For general inquiries about getting involved, please email studentengagement@albertus.edu.
How do I join a club?
Students can view the current list of registered student organizations on the myAlbertus portal. Joining is easy—simply email the club directly or stop by the Office for Student Engagement to be connected with club officers.
Can I start my own club on campus?
Yes! If we don't offer a club that aligns with your interests, you can start one. Requirements include 4 traditional undergraduate students, a faculty or staff advisor, and a completed constitution (templates are provided by the Office for Student Engagement).
How can I learn more about the St. Dominic Scholarship for leadership?
Students are eligible for the St. Dominic Scholarship for leadership if they meet at least one of the following criteria:
- Serve as an executive board member of a registered club or organization on campus.
- Serve as an approved service day leader through the Office for Dominican Ministries.
- Participate in the Leadership Summit and complete 4 additional approved leadership hours.
- Complete 10 hours of leadership experience approved by the Office for Student Engagement.
- Earn the Peace Leadership Course certificate offered by the Office for Dominican Ministries (one-time eligibility).

How can parents and family members get involved at Albertus?
Family involvement enhances the student experience and strengthens the Albertus community. Ways to get involved include:
- Stay connected: You are automatically subscribed to Falcon Family Buzz, the monthly e-newsletter from the Office of Advancement.
- Attend events: Join us for athletics games and campus events throughout the year.
- Support career development: Offer internships or provide job-shadowing opportunities for students.
- Support Albertus: Financial gifts of any size directly support student success and programs.

Bursar & Financial Information
Frequently asked questions regarding student accounts, billing timelines, payment plans, health insurance, and refunds.
How does my student give me access to view and pay their account?
Students must send a payer invitation through Transact by following these steps:
- Log into the myAlbertus portal (my.albertus.edu) and click My Account / Self Service.
- Select Student Finance.
- Click Make a Payment to open the Transact portal.
- Under Do you want help paying? at the bottom of the Account Overview page, click Send a Payer Invitation and enter your email address.
Once accepted, authorized payers can log into Transact directly to view billing statements and submit payments.
Can I inquire about my student's account over the phone, email, or in person?
To discuss student account details with Bursar staff, the student must have a completed FERPA release form on file with the Registrar's Office granting specific permission. Having payer access in Transact alone does not authorize verbal or written disclosure under FERPA.
Note: All electronic statements are sent directly to the student's Albertus email address only.
When will the account be billed and when is payment due?
Billing Dates: On or around June 1 (Fall semester) and November 1 (Spring semester).
Payment Due Dates: August 1 (Fall semester) and January 1 (Spring semester).
Is there a payment plan available?
Yes. The College offers an interest-free monthly payment plan through Transact, accessible via the myAlbertus portal under the My Account/Self-Service tile. Both students and authorized payers may enroll.
Does the bill need to be paid in full by the due date?
Satisfactory arrangements must be in place by the due date—either paying the balance in full or enrolling in the Transact monthly payment plan for any balance remaining after estimated financial aid.
Unresolved balances can result in late fees and holds that prevent class attendance, campus housing, athletic participation, course registration, and diploma release.
Why is my student billed for health insurance, and how is it waived?
U.S.-based students are automatically billed for the College-sponsored health insurance plan but may submit an annual waiver at gallagherstudent.com/albertus by the posted deadline with proof of comparable coverage. Once approved, the charge is reversed.
International students are required to remain on the school-sponsored plan and cannot waive coverage.
How and when are credit balances refunded?
Refunds are issued through Transact Refunds within 14 days of a credit balance occurring, following audit and review by the Bursar's Office. If new charges are billed within that window, credit will be applied to those charges first.
Who receives credit balance refunds?
Credit balance refunds are generally issued directly to the student based on their Transact refund delivery preferences. The exception is when a Parent PLUS Loan generates the credit balance, in which case refunds default to the parent borrower unless authorized otherwise.
What is the refund policy if a student withdraws or drops courses?
Tuition Refund Schedule:
- During add/drop period: 100% refund
- After add/drop period ends: 0% refund
Room & Board Refund Schedule:
- Before end of Week 1: 90%
- Before end of Week 2: 80%
- Before end of Week 3: 70%
- Before end of Week 4: 60%
- After Week 4: 0%
Note: Fees (Application, Registration, Add/Drop, Lab, IT) are non-refundable. Financial aid recipients must meet with Financial Aid prior to withdrawal.
How do I set up direct deposit for refunds?
Log into myAlbertus > My Account/Self-Service > Student Finance > Make a Payment > Enroll in eRefund within Transact, then enter bank account details. Verification codes are sent directly to the student's email address.
How are Form 1098-T tax documents delivered?
Form 1098-T is mailed by January 31 to eligible students with qualified tuition expenses paid in the preceding calendar year. Review IRS Publication 970 or consult a tax professional for guidance on education tax credits.
